1. Setting Yourself Up as a Business
Your first step is to decide how you want to operate. Most of our agents choose to register as sole traders with HMRC, but you may also prefer to set up a limited company. If you’re unsure, seek advice from an accountant to understand tax implications.
Once you’ve made your choice:
Register with HMRC for self-assessment (sole trader) or Corporation Tax (limited company).
Open a business bank account to keep your finances separate from your personal money.
Arrange professional indemnity insurance (required) and public liability insurance (recommended).
Set up a simple accounting system — whether that’s cloud software like Xero or QuickBooks, or an accountant who will manage this for you.
2. Compliance Through Xchange
One of the advantages of joining Xchange Properties is that we take care of the complex compliance side for you.
AML supervision is already in place through the business. You’ll follow our established policies and use our systems for ID checks, due diligence, and reporting.
Redress scheme membership is covered by Xchange — you’re automatically protected under our scheme.
Policies and procedures, including AML, GDPR, and complaints handling, are all written and maintained by us. You simply follow them in your day-to-day work.
What you do need to do individually is register with the Information Commissioner’s Office (ICO). Every agent who handles personal data must register for GDPR compliance, even though Xchange has its own policy framework. Registration is quick and inexpensive online.
3. Tools and Systems You’ll Use
Once you’ve completed your personal registrations and insurance, we’ll get you set up with the Xchange systems. These include:
Our CRM system for managing leads, listings, and compliance records.
Access to property portals such as Rightmove, Zoopla, and OnTheMarket, through Xchange’s business accounts.
Branded templates and marketing materials for consistency across all agents.
Our communications channels, including email setup and social media guidelines.
Training will be provided on each system to make sure you feel confident using them.
4. Building Your Local Presence
As a self-employed agent, your success comes from your ability to win instructions and grow your reputation. Here’s how to start:
Establish your local area focus — know your patch, your competitors, and your target market.
Use Xchange’s marketing tools to create professional materials that introduce you to potential clients.
Set up or update your social media profiles, making sure they align with Xchange’s branding.
Begin building relationships locally — networking, attending community events, and connecting with homeowners, landlords, and developers.
5. Day-to-Day Operations
When you’re ready to start trading:
Use the Xchange CRM to record every new client, property, and interaction.
Carry out ID checks and due diligence following our AML process.
Prepare and present our agency agreements, which already include all legal requirements.
Keep accurate records of your instructions, viewings, and offers.
The Xchange team is always here to support you with compliance queries, system issues, or difficult cases.
6. Ongoing Development
Estate agency is a people business, and success comes from continuous learning. As part of Xchange, you’ll have access to:

7. Final Checklist Before Launch
Before you officially begin trading under Xchange Properties, make sure you have:
